Proposed planning schedule for your mission trip with Heart to Honduras to Honduras, Costa Rica & Nicaragua.
12 months before departure
- Contact Steve DeLisle, Ministry Team Coordinator, at the HTH office to set the dates for your team

TEAM DATES ARE: ____________________________________
- The dates will be tentatively held for 30 days pending receipt of
- $300 deposit (covers the administrative costs, t-shirts, manuals, luggage tags etc.) PLUS
- Signed Ministry Team Agreement
WITHIN 30 DAYS OF SETTING THE DATES
- Seek God’s direction as you begin the process of putting a team together
- The people God wants on the team will sign up
- The project will benefit the Honduran people and will foster relationships between the Hondurans and North Americans
- Send to Heart to Honduras office deposit of $300.
- Upon receipt of the above, HTH will send you a Team Leader’s Kit.
UPON RECEIPT OF LEADER’S KIT
- Pray for God’s guidance and wisdom as you make decisions about the team and it’s work in the Kingdom.
- Plan a team meeting to generate interest and determine the team project:
- Construction
- Vacation Bible School
- Visioning
- Specialized
- Medical
- Dental
- Surgical
- Education
- Hydro
- ESL (English as a Second Language)
- Other
- Discuss possible recreational tours
- Determine & Announce the cost of the trip
- Airline ticket
- HTH ground fees
- Project fee
- International Health Insurance
- Recreational tour fee – if applicable
- Contact Steve DeLisle to set up team project.
- Distribute Fieldworker’s Manuals to team members.
10 MONTHS BEFORE DEPARTURE
- Make airline reservations.
- See Form 9: Airline Information for carriers flying into San Pedro Sula.
- Form 9 also has travel agency suggestions if needed.
- Schedule your arrival time in Honduras BEFORE 2 p.m. so you can be in Canchias before dark. Later arrivals will need to stay in a hotel in San Pedro Sula on the first night and be picked up by Heart to Honduras staff the next day.
- Costa Rica flights are to San José.
- Nicaragua flights are to Managua.
- Choose an International Health Insurance plan with evacuation coverage for all team members. See Form 8.
- Set us a schedule for collecting money. This will encourage team members to commit to the team so you can make airline reservations.
- Remind team members to apply for passports. Those who already have passports need to check that their passport is valid through 6 months from the date of return to the States.
- Begin fundraisers if needed.
6 MONTHS BEFORE DEPARTURE
- Begin monthly meetings to:
- Foster group building
- Encourage Spanish lessons
- Discuss fund raising efforts
- Answer questions
- Quiz team members on information in the Fieldworker’s Manual
- Make devotions and prayer and integral part of each meeting as you and the team prepare for the trip.
- Distribute online registration information to team members and begin online registration process:
- Team members can register other family who are taking part in the same trip.
- A passport is required to complete online registration.
- Check on Passport progress for those who haven’t received theirs yet.
- Discuss need for international health insurance and determine the best way to obtain it (individually or as a group).
4 MONTHS BEFORE DEPARTURE
- Continue the spiritual preparation of the team with prayer and devotions.
- Designate an emergency contact person who is NOT going on the trip. Complete the Designated Emergency Contact Person for the Entire Team form (Form 5, blue). Send this form to the HTH office with the other paperwork.
- Have team members sign Fieldworker Emergency Contact Information for the contact Person Staying Home form (Form 6, blue). Give this form to the Designated Emergency Contact Person.
- This gives you 60 days to catch the stragglers and check on their registration progress.
HEALTH CARE TEAMS
Health care professionals providing health care in Honduras, Costa Rica or Nicaragua must provide the following documentation per request of the governments:
- Copy of diploma, i.e. nursing school, medical school, dental school, etc.
- Copy of professional licensure
- Copy of Curriculum Vitae
3 MONTHS BEFORE DEPARTURE
- Continue the team’s spiritual preparation with prayer and devotions.
- Follow up with those who have not registered.
- Prepare to send the following to HTH office:
- Copy of flight itinerary
- The agreed to trip cost per person
- Project fee
- Proof of Team International Health Insurance Policy
2 MONTHS BEFORE DEPARTURE
- ALL online registration and individual members fees are due to the HTH office 60 days before your departure date.
- If someone’s passport has not arrived yet, and therefore they have not registered, please email Steve the name of the person and the cause of their delay.
- Finalize project details and send in agreed to project fees with HTH.
- Upon receipt of forms and fees, the HTH office will mail your t-shirts and luggage tags for each team member.
1 MONTH BEFORE DEPARTURE
- Contact Steve DeLisle to finalize trip details.
1-2 WEEKS BEFORE DEPARTURE
- Have a packing party for group items, such as:
- VBS supplies
- Medical supplies
- Health kits
- Attach luggage tags to group bags.
- Give members a luggage tag for their personal checked bag.
- It is helpful to have a set of scales to weigh the bags as you pack. The weight limit is 50 pounds per bag.
